Redeemed Counselling and Psychotherapy Services ("Redeemed CPS" or "We") is committed to safeguarding your personal information. The responsible collection, use, and disclosure of personal information is strictly to the extent necessary for the services we provide. Your trust is important, and we take every measure to handle your data responsibly, transparently, and securely.

Definition of Personal Information

Personal information refers to details about an identifiable individual. This includes information related to personal characteristics (e.g., gender, age, home address or phone number, ethnic background, family status), health (e.g., health history, conditions, services received), and activities or views (e.g., religion, opinions expressed). Business information (e.g., an individual's business address and telephone number) is not protected under privacy legislation.

About Us

Redeemed Counselling and Psychotherapy Services comprises a team of a licensed mental health professional, student interns (future) and support staff. In the course of their duties, certain consultants and agencies may have limited access to personal information. These include IT consultants, accountants, temporary workers, and legal advisors. We ensure their access is restricted and that they adhere to appropriate privacy principles.

Standards and Procedures Regarding Personal Information

Primary Purposes 

For clients, we collect, use, and disclose personal information primarily to provide effective treatment. This includes collecting a client’s health history, physical condition, and social circumstances to assess health needs and provide appropriate care. Additionally, we use this information to establish a baseline for ongoing health and psychological services, enabling us to monitor changes over time. Consent is generally obtained, except in emergencies or situations where implied consent is reasonable and practical.

For non therapy clients (i.e. site visitors, subscribers) we collect personal information provided by users on our website for specific purposes (e.g., responding to emails, payment and shipping of products, event and program registration/inquiry, products, or services). We endeavor to obtain consent before using such information and will remove it upon request if consent cannot be obtained. Website cookies are used solely for navigation and are not used to monitor users.

We also collect personal information (e.g., addresses, telephone numbers) from partners, contract staff, volunteers, and students/interns to facilitate work-related communication and activities that are neceserray to ensure the effectiveness of our services. In such cases consent is obtained, except in instances where by law such information is required to be released (emergencies or for legal investigations).

Secondary Purposes

We also collect personal information for purposes ancillary to our primary objectives, such as invoicing, quality assurance, regulatory compliance, legal obligations. Personal information may be disclosed to third parties like insurance companies or government agencies as required by law or with consent. 

 

Protection
We employ several measures to protect personal information:

  • All client records are stored in a secure practise management software. In rare cases where paper records are kept, such records will be placed into a folder, away in a locked file cabinet, in a room with a lock. 

  • Electronic data is password-protected and stored in secure locations.

  • Transmission of hard copies of information is secured through sealed envelopes/high quality packages ensuring protection of data.

  • Staff are trained in our privacy policies, and external parties must agree to confidentiality agreements.​

 

Access

Individuals have the right to access most of their personal information, subject to verification of identity. Requests for access must be made in writing. Upon receipt of this request and verification of identity is obtained, the client must sign a waiver form releasing Redeemed Counselling and Psychotherapy services of any breach of confidentiality or fault once the records have been released to said client. At that time and onwards the client is responsible for ensuring the records in their possession are kept securely.

If access is denied, we will provide an explanation within 4 weeks of the request.​

Correction

If an individual believes there is an error in their personal information or facts are missing or incorect they can request a correction. We may require documentation to substantiate the error. If a correction is made, we will notify relevant parties. If we do not agree with the correction, we will include a statement from us in the individual's file. Please note that 'corrections' in this manner are not applicable to 'opinions' and 'observations' that have been added to the client's file by staff.​ 


Retention and Destruction 

In accordance with the College of Registered Psychotherapist guidelines, personal information is retained for a minimum of ten years to address any follow-up questions and to comply with regulatory requirements. In instances where we have paper records, they  are shredded and electronic records are securely deleted when they are no longer needed at the ten year mark.
